Coordination without governance

How to coordinate assignments across teachers, without writing a new policy.

Shared calendars, homework caps, and department scheduling rules are the standard answers here. They are reasonable ideas, and they tend to fade within a term because they add a maintenance job to people who are already at capacity.

The policy approach is a reasonable first instinct.

A shared assignment calendar, a cap on major assessments per night, a standing department meeting to compare dates: these are sensible responses to a real problem, and schools that run them well do see fewer pileup weeks. The idea isn't wrong.

Some schools sustain these approaches for years, usually because a specific person, often an academic dean or department chair, treats the upkeep as part of their role and keeps at it. That's a real solution. It's just a solution that depends on a person, not a system, which makes it fragile in a way that's easy to miss until that person changes roles or the term gets unusually busy.

Shared calendar

One place where every teacher logs major due dates before assigning them, so conflicts show up before they land on a student.

Homework caps

A rule limiting how many tests or major assignments can be due on the same night, often by grade level.

Department coordination

A standing meeting or shared document where department heads compare and adjust upcoming due dates.

Why these approaches tend to fade.

Every one of them puts the coordination work on the same teachers who are already teaching five classes, grading, and running clubs. A shared calendar only helps if someone checks it before assigning a date. A cap only holds if someone enforces it across departments that rarely talk. The people best positioned to keep the system running are the people with the least slack to do it.

  • It adds a step, not a shortcut: checking a shared calendar before every assignment is one more thing on an already full plate.
  • It needs an enforcer: a cap without someone checking compliance is a suggestion, and that someone is usually already stretched thin.
  • It resets every term: new hires, schedule changes, and busy weeks all erode a policy that depends on habit rather than the data itself.
